Our Conveyancing Department is seeking an organised, proactive, and client focused Onboarding Clerk to join our growing team. Role Overview
As an Onboarding Clerk, you will be the first point of contact for new conveyancing clients. Your responsibilities will focus on ensuring a smooth, professional, and compliant onboarding process. You will work closely with our fee earners, support staff, and clients to gather essential information, ensure regulatory requirements are met, and help set up each file for successful progression.
Key Responsibilities
- Managing incoming new client enquiries and providing clear guidance on the onboarding process.
- Preparing and issuing initial documentation, including client care packs and terms of engagement.
- Conducting ID verification checks and ensuring compliance with AML (Anti Money Laundering) regulations.
- Obtaining essential property details, client information, and supporting documentation.
- Opening and setting up new conveyancing files accurately and efficiently on the case management system.
- Communicating with estate agents, brokers, and other third parties where required.
- Maintaining accurate records and ensuring all onboarding actions are completed promptly.
- Supporting the wider Conveyancing Department with administrative tasks as needed.
Skills & Experience Required
- Previous experience in a legal, property, or administrative role is desirable but not essential.
- Strong organisational skills and excellent attention to detail.
- Confident communication skills, both written and verbal.
- Ability to work in a fast paced environment and manage multiple tasks.
- Familiarity with conveyancing processes or legal compliance (e.g., AML) is an advantage.
- Proficient in Microsoft Office and comfortable learning new systems.
